Overview
iPacen is a booking SaaS for coaches and service businesses. This policy explains how iPacen handles personal data for visitors, account owners, workspace team members, and people who submit booking forms.
Information we collect
- Account data, such as name, email address, authentication identifiers, and workspace ownership details.
- Workspace profile data, such as company name, logo, public email, website, timezone, currency, public page text, and SEO fields.
- Booking data, such as customer name, email, phone, timezone, selected offer, appointment time, notes, booking status, and payment status.
- Offer and availability data, such as offer names, descriptions, durations, prices, buffers, notice rules, team assignment, and weekly availability.
- Payment data from Stripe, such as checkout session identifiers, payment intent identifiers, payment amount, currency, and payment status. iPacen does not store full card numbers.
- Calendar integration data when Google Calendar is connected, such as OAuth tokens, calendar busy-time checks, and event identifiers for synced bookings.
- First-party product analytics for hosted booking pages, such as page path, page type, referrer, user agent, and event time. iPacen does not use these analytics to store raw IP addresses in the app database.
- Support and communication data when you contact us, including the email address and contents of your message.
How we use information
- To create accounts, workspaces, hosted booking pages, offers, availability, and bookings.
- To show public booking pages and validate appointment slot availability before a booking is created.
- To process paid bookings through Stripe when a Pro workspace enables payment-required offers.
- To sync confirmed bookings with Google Calendar when a workspace connects calendar sync.
- To send transactional booking and account notifications where configured.
- To provide customer support, troubleshoot errors, prevent abuse, and keep the service secure.
- To provide first-party product analytics to workspace owners so they can understand booking page activity and conversion.
Legal bases and responsibilities
For workspace owners and team members, iPacen generally processes account and product data to provide the service requested, meet legal obligations, protect the service, and support legitimate operational interests. For booking customers, the workspace owner is typically the controller of the booking data and iPacen acts as a processor that stores and processes that data on the workspace owner's instructions.
Sharing and subprocessors
iPacen uses trusted subprocessors to run the service, such as hosting, database/authentication, payments, calendar integration, and email delivery providers. We do not sell personal data. A current subprocessor list is available on the Subprocessors page.
Retention
We keep personal data only as long as needed to provide the service, comply with legal obligations, resolve disputes, prevent abuse, and maintain business records. Workspace owners are responsible for deciding how long they need to keep client booking records. Deleted accounts or workspaces may remain in backups for a limited period before backup rotation removes them.
Your rights
Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal data. Contact us at the address below. If you are a booking customer, we may need to direct your request to the workspace owner that collected your booking information.
Security
We use technical and organizational safeguards designed to protect account, booking, payment, calendar, and workspace data. No online service can guarantee absolute security, but security-sensitive keys and service-role credentials must remain server-side and are not intentionally exposed to browsers.
Children
iPacen is not intended for children. Workspace owners should not use iPacen to knowingly collect data from children unless they have the required authority and consent for their jurisdiction and use case.
